Privacybeleid

2 Welke gegevens we verzamelen
Accountgegevens
Naam, e-mailadres, versleuteld wachtwoord, optionele profielfoto.
Huishoudengegevens
Hiervoor gebruiken we Microsoft Clarity.
- pushmeldingen, die via Firebase Cloud Messaging van Google naar je toestel gaan;
- gebruiksstatistieken (alleen met toestemming) bij Microsoft Clarity en Google Analytics;
- e-mails die je naar support stuurt (Google Workspace);
We verkopen jouw gegevens nooit. We werken samen met:
| Partij | Waarvoor | Wat ze zien |
|---|---|---|
7 Bewaartermijn
8 Jouw rechten & account verwijderen
- Inzage te krijgen in je gegevens;
- Onjuiste gegevens te laten corrigeren;
- Je gegevens te laten verwijderen;
- Je gegevens in een overdraagbaar formaat te ontvangen;
- Bezwaar te maken tegen bepaalde verwerkingen;
- Je toestemming op elk moment in te trekken;
Privacy Policy
PantrySnap helps households track their pantry, fridge and freezer, waste less food, and save money on groceries. This policy explains, in plain language, what data we collect to do that, why, and the choices you have — including how to fully delete your account and data.
In short
- Your data is stored in the Netherlands, in a Google Cloud data center (region europe-west4).
- Receipts are processed only in the EU and not kept afterwards. We ask for your permission first.
- Your photos and receipts are not used to train AI.
- No advertising, and we never sell your data.
- Usage statistics only if you want, to make the app easier to use. You can switch this off at any time.
- Delete your account in the app, with one tap from your profile.
1 Who we are
PantrySnap is a product of Helixons Engineering B.V., based in Capelle aan den IJssel, the Netherlands. Helixons Engineering B.V. is the data controller for personal data collected through the PantrySnap app.

Your household — you and the members you share a pantry with — is the app's basic unit: most data (inventory, shopping list, savings) is shared within that household, not made public.
2 Data we collect
We only collect what's needed to make the app work:
Account data
Name, email address, hashed password, optional profile photo.
Household data
Household name, membership, roles (owner/member).
Inventory & shopping
Products, categories, quantities, expiry dates, prices, location.
Savings & badges
What was used vs. wasted, estimated savings.
Push notifications
A device token, only if you enable this.
Purchases (PantrySnap Plus)
Which product you bought, through which store, the purchase token or transaction ID, and until when Plus runs. We never see your payment details.
Technical data
IP address, device type and app version, for security, and how many AI receipt scans your household used this month.
Usage statistics
Only with your consent: how you move through the app (screens, taps, scrolling), so we can see what to improve. Text stays masked. See section 4.
3 Photos, barcodes & AI
When you scan a product, barcode or receipt, the photo is used to recognize text and product details (via Google Cloud Vision) and to automatically sort the product into the right category (via Google's Gemini AI model, hosted on Google Vertex AI). These photos are processed to generate that result and are not separately retained by us — only the final result (product name, brand, category, price) is stored in your inventory. If you add a product photo yourself, that photo is kept so it shows up in your inventory list.
- EU only: we use the European services of Google Cloud Vision and Gemini (in the Netherlands). Your receipt doesn't leave the EU.
- No AI training: Google doesn't use your photos and receipts to train AI models, and neither do we.
- Not kept: a receipt photo only exists in our server's memory while it's being scanned. After that it's gone.
- Expiry dates are estimates based on typical storage times. Always check the packaging too.
Before we send a receipt photo for the first time, we ask for your permission. Without it, no receipt is sent to Google. You can withdraw your permission at any time in Settings → Scan receipts with AI.
4 Why we use this data
- To run the app: track and sync your inventory, shopping list and household between housemates.
- To show your impact: calculate your savings overview and badges.
- To provide PantrySnap Plus: check with Google Play or the App Store that your purchase is genuine and still active, and turn on Plus for the household you own.
- To remind you: push notifications about soon-to-expire products, if you've enabled them.
- To make the app easier and nicer to use: usage statistics, only if you consent (see below). Crash logs are kept on your own device only and are not sent to us.
We show no advertising and use no advertising software. For usage statistics we use Microsoft Clarity and Google Analytics for Firebase, and only with your consent.
Usage statistics: to make the app easier to use
We want PantrySnap to be self-explanatory. That's why we ask your permission to see how the app is used: which screens you open, where you tap and scroll, and where you get stuck or try something again. That shows us which buttons are unclear and which steps can be shorter.
We use Microsoft Clarity for this. Clarity turns your use into a masked view we can play back later: we see the screen layout and where you tap, but all text on screen and anything you type is hidden. So we don't see names, products, prices or email addresses. The data is linked to a pseudonymous code derived from your account, not to your name or email address. We don't allow Clarity to use the data for advertising.
In the Android app, Google Analytics for Firebase also counts which screens and features are used (for example how often a receipt scan succeeds), with the same pseudonymous code. Google gets no consent for advertising or personalised ads, we don't read your advertising ID, and sharing this data with other Google services is switched off.
In addition, our server records for each request which feature was used, whether it succeeded and how long it took. Without consent this is anonymous; with consent the same pseudonymous code is included, so we can see where someone gets stuck.
You can withdraw consent at any time: in the app via
Settings → Share usage statistics, on the website via
Cookie settings at the bottom of the page. On the website,
Clarity only sets cookies after you tap Allow in the cookie banner:
cookies from our own site (_clck and _clsk, to
recognise your visit as one session) and cookies from Microsoft's clarity.ms
domain (such as CLID and MUID).
Legal basis
- Performance of the contract: your account, inventory, shopping list, household, receipt scanning and your PantrySnap Plus purchases. The app can't work without this data.
- Consent: push notifications, usage statistics via Microsoft Clarity and Google Analytics, and the pseudonymous code in our server logs. You can withdraw consent at any time.
- Legitimate interest: technical data and anonymous server logs, to keep the service secure and working.
5 Where data is processed
Your account, inventory, shopping lists, household and product photos are stored in a Google Cloud data center in the Netherlands (region europe-west4). Our server and the AI recognition of receipts run there too, or elsewhere in the EU.
A few things may be processed outside the European Economic Area (EEA):
- push notifications, which Google's Firebase Cloud Messaging delivers to your device;
- usage statistics (only with consent) at Microsoft Clarity and Google Analytics;
- emails you send to support (Google Workspace);
- access by Google for operations and support, in exceptional cases.
EU Standard Contractual Clauses apply to this, and Google and Microsoft participate in the EU-US Data Privacy Framework, so your data keeps the same level of protection.
6 Sharing with third parties
We never sell your data. We work with:
| Party | For | What they see |
|---|---|---|
| Google Cloud / Firebase | Hosting, database, push notifications, AI recognition; usage statistics (Google Analytics) only with consent | All app data |
| Open Food Facts / UPCitemdb | Product lookup by barcode | The barcode only |
| Google Play / Apple App Store | Payment and subscription for PantrySnap Plus | They handle the payment; we only receive the purchase token, product and term |
| Microsoft Clarity | Usage statistics, only with consent | Screen use with text masked, pseudonymous code, device type |
| Google Workspace | Email with support | What you email us |
Google processes the data on our behalf (as a processor). For Clarity, Microsoft acts as an independent controller: Microsoft itself also determines how it uses this data, under the Microsoft Privacy Statement. That is why we ask for your consent first.
When you buy PantrySnap Plus, you pay Google or Apple. They process your payment details as an independent controller, under their own privacy policies. We only ask them whether your purchase is valid.
7 Retention period
We keep your data for as long as your account is active. If you delete your account (see below), we delete your personal data within 30 days, except where we're legally required to keep something longer. This includes your purchase records. Google and Apple keep their own payment records under their own policies.
- Receipt photos: not kept (see section 3).
- AI receipt scan counter: starts over every month.
- Device token for push notifications: removed when you log out, uninstall the app or delete your account.
- Emails to support: as long as needed to handle your question.
Usage statistics are kept for less time: masked views in Microsoft Clarity for up to 30 days, unless we mark a recording for analysis (then up to 9 months), aggregated statistics (such as heatmaps) for up to 9 months, Google Analytics for 2 months, and our server logs for 30 days. These usage statistics expire on their own after the periods above, also if you delete your account. On request we have your Google Analytics data deleted sooner; for Microsoft Clarity that isn't possible per person.
8 Your rights & deleting your account
Under GDPR you have the right to:
- Access your data;
- Have inaccurate data corrected;
- Have your data deleted;
- Receive your data in a portable format;
- Object to certain processing;
- Withdraw your consent at any time;
- Lodge a complaint with the Dutch Data Protection Authority.
Want a copy of your data, or something changed? Email support@pantrysnap.com. We respond within 30 days, free of charge, and send your data in a common, readable format (JSON). To protect your data, we may ask you to email us from your account's email address.
✓ Directly in the appHow to delete your account
- Open Profile in the app.
- Tap Delete account near the bottom.
- Confirm — if you're the sole owner of a household with other members, we'll first ask you to remove them or transfer ownership.
Your account, profile and place in your household are deleted immediately. Shared household data remains for the remaining members, unless you were the only user — in that case the household itself is cleaned up too.
Have a Plus subscription? Deleting your account doesn't cancel it. Cancel it in Google Play or the App Store, otherwise it renews.
No longer have the app? Email support@pantrysnap.com from your account's email address with the subject “Delete account”. We'll delete your account and personal data within 30 days, the same way as described above.
9 Children
PantrySnap is not directed at children under 16. We do not knowingly collect data from children under this age.
10 Security
Passwords are stored hashed (never in plain text), traffic between the app and our servers runs over encrypted connections (HTTPS), stored data is encrypted, and database access is restricted to our backend services. Household members only see their own household's data, and scan limits protect the service against abuse.
11 Changes to this policy
We may update this policy as the app evolves. We announce material changes in the app at least 30 days in advance. The date of the latest version is always shown at the top.
Questions about your data?
Get in touch and we'll get back to you within 30 days.
